Terms and Conditions
To follow for stallholders
Liability and Insurance:
• The venue will have a limited liability covering only accidents and incidents deemed to be fault of the venue and not fault of the vendor/trader. Please provide details of your public liability insurance.
• Food or Drink stalls MUST provide Allergy Information, Food Hygiene, and have their own Liability Cover. Please provide this when submitting the booking form.
• Agreement to Terms and Conditions: By signing below, you acknowledge that you have read and agree to the terms and conditions of North Cambridge Markets, including all rules and guidelines provided. North Cambridge Markets Terms and Conditions
- All traders must hold a minimum of £5 million public liability insurance and provide proof prior to trading. Certificates must be available for inspection at all times
- Food traders must also hold hygiene certificates
- Indoor pitches are 6ft length unless agreed with the Market Team.
- Outdoor pitches are 3mX3m unless agreed with the Market Team
- Tables and chairs are not included. Traders must provide their own.
- The Girton market opens to shoppers from 10.00am to 3pm. Therefore, to comply with Health and safety rules there will be no packing away until 3pm. (exceptions can be made in an emergency - this must be authorised by Market Team). Setup is from 9am and to leave by 4pm.
- Outdoor traders can access the playground ONLY through the main hall. NO cars can access the playground.
- Fees must be paid in full prior to the market date unless otherwise agreed. This is on a first paid first in basis.
- Stall fees are non-refundable in the event of trader cancellation.
Transfers to an alternative date may be offered at the discretion of the Market Team, subject to availability.
If the event is cancelled by the organiser, traders will be offered either a full refund or the option to transfer to another date. - No gazebos or inflatables permitted inside the venue. Banners and promotional items can be used at the discretion of events management.
- Music is not permitted by stallholders
- Prices must be displayed on all products.
- No fires unless agreed with by the Market Team
- Traders must keep all walkways clear of all obstructions (constructions and stock).
- Traders are responsible for any damage caused to the venue or surrounding property by themselves, their staff, contractors or equipment and agree to reimburse the Organiser for reasonable repair costs.
- All traders are expected to adhere to the Trade Descriptions Act.
- Don’t sell counterfeit goods,
- All goods should be accurately described, including allergy warnings, age restrictions etc.
- If you are selling seconds don’t describe them as perfect,
- If you are selling Egyptian new potatoes, don’t describe them as English.
We have regular visits from trading standards and shoppers will report anything they don’t like so please ensure the rules are understood and followed.
- The sale of weapons, including but not limited to, guns, firearms, air rifles and knives is strictly prohibited.
- Traders must comply with the Food Hygiene (Markets Stalls and Delivery Vehicles) Regulations 1966 and the Fair-Trading Act 1973
- The Trader is responsible for the protection of their own goods and equipment from damage because of weather, fire, water, theft or any other cause while in the Market.
- The organiser shall not be liable for cancellation or alteration of the event due to circumstances beyond its reasonable control including but not limited to severe weather, government restrictions, venue closure, public emergency, or force majeure events.
- All equipment used by traders for display, storage, electrical equipment and/or shelter should be in good order.
- All electrical equipment used including but not limited to chargers, lighting, kettles, cooking equipment should be PAT Tested and show current stickers displaying the date of inspection and when due.
- The Trader agrees to indemnify and hold harmless the Organiser, Venue and Event Staff from and against any claims, liabilities, damages, losses or expenses arising from the Trader’s participation in the Market, including but not limited to injury, illness, damage, or breach of statutory duty caused by the Trader, their staff, contractors or goods.
- Nothing in these terms shall exclude or limit liability for death or personal injury caused by negligence, fraud, or any liability which cannot be excluded by law.
- Traders are expected to respect and represent the values and rules of the market. Traders are expected to conduct themselves in a polite, business-like, and professional manner always.
- Anyone who books a pitch but does not attend without an acceptable explanation more than three times will be excluded from the market. The pitch may be re-allocated. There will be no refunds.
- The market area is a no smoking area
- Goods and equipment sold must comply with all relevant legislation and electrical goods must meet with UKCA or CE marking as required by applicable legislation. Advice can be obtained from Trading Standards.
- All rubbish is to be taken home/disposed of in a responsible manner by the trader
- Emergencies
- Please familiarise yourself with the locations of emergency exits and equipment such as Fire Points and First Aid.
- Emergency Exits are clearly marked around the venue and must not be blocked under any circumstances. Any items or belonging that block walkways or exits will be removed without warning.
- Emergency details and fire safety points will be clearly marked and Marshals on site should there be any risk or need for evacuation.
- The nearest Hospital will be Addenbrooke’s Hospital.
- In the event of an emergency please follow the instructions of the venue staff.
- Data Collection:
- By completing the booking form, traders consent to the collection and processing of their personal data for the purposes of organising and managing the Market Day event. The data collected includes: name, business name, address, phone number, email address, and any other relevant details provided.
- Data Usage:
- The collected data will be used solely for communication regarding the event, stall allocation, and any necessary follow-up. We will not share your personal data with third parties without your explicit consent, unless required by law.
- Data Security:
- We are committed to ensuring the security of your personal data. Appropriate technical and organisational measures are in place to protect against unauthorised access, alteration, disclosure, or destruction of personal data.
- Data Retention:
- Personal data will be retained only as long as necessary for the purposes of organising and managing the event and for any subsequent legal or administrative purposes. After this period, data will be securely deleted.
- Your Rights:
- Traders have the right to access, correct, or request the deletion of their personal data. To exercise these rights, please contact the Event Manager. Traders also have the right to lodge a complaint with a supervisory authority if they believe their data is being mishandled. In accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
- By signing the booking form, you agree to the terms and conditions outlined in this document. The Organiser reserves the right to amend these Terms and Conditions. Any changes will not affect confirmed bookings without reasonable notice.
